Process and Elements of Business Communication With Example

Basically there
are 7 elements in the Business Communication Process. All are important to
complete the process. These Elements are explained below:
Ø Sender
Sender
is the person who encodes or sends the message or business message. Sender
starts the communication process.
Ø Encoding
In
this step, ideas, feelings, expressions are generating in the mind of Sender.
He / She have some purposes for sending any kind of message like the business
message. The messages are generated in his / her mind due to Internal Stimulus
or External Stimulus.
Internal Stimulus
is his / her inner feeling and thought of mind but External Stimulus is
generated due to external factors such as after reviewing the performance of
company businesses through corporate performance management software, a CEO may
write business letter to internal management about company performance.
Ø Medium
After encoding the message, the sender needs the channels
or medium through which the business message sends to the receiver or decoder. The
sender uses the medium of communication. For Example, he / she may use phone to
send business phone message, write business reports, business letters, memos,
press releases, press conferences, Audio Web conference, Internet Conferencing,
Email Marketing and so on.
Ø Receiver
The person who receives the message from the sender. For
Example, if we send the message through E-mail Marketing Software, then the
receiver is our customer.
Ø Feedback
Feedback is the response or reply to the business message.
A sender always needs feedback from the receiver to better know about the
results of his / her message. This step is necessary to complete the process.
For Example, company businesses may send sales letters to customers and wait
for the response from them. If they keep silent, then obviously, the company
businesses can think many questions like whether the customers are willing to
buy the products or not.
